Information I may collect

Depending on how you interact with Alcheme, I may collect:

  • your name, email address, telephone number and contact details;

  • information you provide when making an enquiry or booking an appointment;

  • appointment and payment information;

  • health information relevant to your consultation and treatment, including medical history, symptoms, medications and other information you choose to provide;

  • clinical consultation and treatment records;

  • communications between you and Alcheme;

  • newsletter subscription information and marketing preferences; and

  • information about how you use the website, where analytics or similar technologies are enabled.

Health information is treated as special category personal data under UK data protection law and is afforded additional protection.

How your information is used

Your personal information may be used to:

  • respond to enquiries;

  • arrange and manage appointments;

  • provide acupuncture and other treatments you have requested;

  • maintain appropriate clinical and treatment records;

  • process payments and administer your account;

  • communicate with you about your appointments or treatment;

  • meet applicable legal, professional, insurance and record-keeping requirements;

  • send Letters from Alcheme and other email marketing where you have chosen to subscribe;

  • operate, secure and improve the website; and

  • understand website use and, where you have consented to relevant cookies or tracking technologies, measure marketing and advertising activity.

Lawful bases for using your information

Different lawful bases apply depending on why your information is being used.

Where information is needed to arrange or provide a service you have requested, processing may be necessary to enter into or perform a contract with you.

I may rely on legitimate interests where it is necessary to operate and administer Alcheme appropriately, communicate with patients, maintain appropriate business and clinical records, protect the business and establish, exercise or defend legal claims, provided those interests are not overridden by your rights and interests.

Where processing is necessary to comply with a specific legal requirement, I may rely on legal obligation.

Where consent is required — including for certain marketing communications, cookies and tracking technologies — I rely on your consent. You can withdraw that consent at any time.

Health and other special category information

Information about your health is special category personal data and requires additional protection.

Where you provide health information for the purpose of consultation and treatment, I will only process that information where an appropriate condition under UK data protection law applies. Where explicit consent is relied upon, this will be obtained separately and recorded.

In some circumstances, health information may also need to be retained or used where necessary for the establishment, exercise or defence of legal claims.

Providing consent to the processing of health information is separate from consenting to treatment.

How your information is stored and shared

I use carefully selected third-party services to operate the practice. Your information may therefore be processed by service providers acting on behalf of Alcheme where this is necessary to provide their services.

These currently include:

  • Practice Better for appointment management, client administration and clinical records;

  • Practice Better Payments for payment processing;

  • Squarespace for website hosting and website functionality;

  • Google services, including Gmail and, where enabled with appropriate consent, Google Analytics;

  • Flodesk for newsletter subscriptions and email marketing; and

  • Meta technologies, where enabled and where you have consented to advertising or tracking technologies.

These providers process information according to their own services, contractual arrangements and applicable data protection requirements.

I do not sell your personal or clinical information.

International data transfers

Some of the technology providers used by Alcheme operate internationally or may process information outside the United Kingdom.

Where personal information is transferred internationally, I take reasonable steps to use providers that put appropriate safeguards in place for the transfer and handling of personal information as required by applicable data protection law.

How long your information is kept

Personal information is kept only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, professional, contractual and insurance requirements.

Clinical records are retained in accordance with the requirements applicable to my practice and are stored securely.

Enquiry and administrative information is retained only for as long as it remains necessary for the relevant purpose.

If you subscribe to Letters from Alcheme, your subscription information is retained while you remain subscribed. You can unsubscribe at any time using the link included in marketing emails.

Cookies and website analytics

The Alcheme website uses cookies and similar technologies for essential website functions and may use additional technologies for analytics and advertising.

Non-essential cookies and tracking technologies are controlled through the website's cookie consent settings where consent is required.

Your rights
